5 ways to automate dental clinic scheduling

Front desk doesn't scale. These are the exact points where AI saves hours per week — without compromise to patients.

A 3-chair clinic gets on average 80 to 120 calls and messages per week. The receptionist answers as long as she can — when she can't, the patient calls another clinic. From our pilot data across three clinics in Novi Sad, the average clinic loses around €700 per month to missed calls.

Five concrete spots where AI directly improves things.

1. Triage of urgent cases

Most important first — a patient in severe pain shouldn't wait in the regular queue. AI asks three triage questions (duration, location, swelling) and classifies the case priority 1-3. The doctor sees the list by priority, not by call time, in the morning.

Legal note

AI never diagnoses. Triage is only prioritization — scheduling and recommendations come from the doctor.

2. After-hours scheduling

70% of bookings don't close on the phone during business hours — patients message in the evening and on weekends. AI 24/7 takes the request, checks the calendar, proposes two slots, confirms the booking. The doctor walks in to a full schedule.

3. 48h and 2h reminders

Day-before cancellations empty the calendar. AI sends a WhatsApp/SMS reminder 48 hours ahead, asks for confirmation, and 2 hours ahead — a short reminder. If the patient cancels — instantly offers the slot to a wait-listed patient.

Pilot result: -38% in day-before cancellations.

4. Pre-estimates and informational answers

Most common questions: "How much is a cleaning?", "Do you do implants?", "Is there parking?". AI has a knowledge base with pricing and answers — patient gets immediate response, the front desk doesn't waste time on the 50th repetition.

5. Post-procedure follow-up

After a larger procedure, AI sends a T+24h message: "How are you feeling? Any bleeding?". The patient replies, AI classifies, escalates to the doctor only when something is out of norm.

The biggest relief isn't what AI does on its own — it's that the receptionist no longer forgets next-day reminders.

What NOT to hand to AI

  • Treatment consultations (doctor only)
  • Changes to a treatment plan
  • Conversations with patients in distress (anxiety, panic)
  • Discussions on pricing of complex interventions (always doctor)

Cost and timeline

Basic tier (€299/mo + €1500 setup) covers all of the above. Implementation: 7 days. ROI typically in the first month, just on fewer cancellations and more after-hours bookings.
